1. Introduction

At Traveling Hub Georgia (“Company,” “we,” “us,” or “our”), we recognize the significance of safeguarding your personal data and maintaining your trust. Therefore, this Privacy Policy governs the collection, processing, storage, and disclosure of personal information we acquire through your interaction with our services, whether online (via website, social media, messaging platforms) or offline (through direct bookings and consultations). Furthermore, your continued use of our services constitutes acceptance of this policy in its entirety. In addition, we are committed to transparency, so we encourage you to review it carefully.

2. Information We Collect

In the course of providing travel-related services, we collect and process the following categories of data. In addition, we ensure that all collection aligns with our commitment to transparency. Consequently, these categories include:

  • Personally Identifiable Information (PII): Full name, date of birth, email address, phone number, nationality, passport or identification documents (when legally or logistically required), and any other personal details necessary for travel arrangements. Furthermore, we only collect this information with your explicit consent where required.
  • Booking and Transactional Data: Tour selections, accommodation and activity preferences, payment confirmations, billing details (which we handle via secure third-party payment processors), and itinerary information. Similarly, this data helps us tailor experiences to your needs.
  • Correspondence and Communication Records: Messages, inquiries, reviews, and any communication we exchange with our team via WhatsApp, Instagram, Facebook Messenger, email, or other channels. Moreover, we use this to improve our services.
  • Technical and Usage Information: Browser type, device information, IP address, geolocation data, website usage behavior, and session statistics, which we automatically collect for service optimization. As a result, we can enhance your browsing experience.

3. Purpose of Data Processing

We utilize your data solely for legitimate business purposes. Consequently, these purposes include:

  • Booking administration, itinerary planning, and logistical coordination. Furthermore, this ensures smooth travel arrangements.
  • Customer service and support communications. In addition, we respond promptly to your queries.
  • Service customization based on preferences. Therefore, we can offer personalized recommendations.
  • Marketing and promotional outreach (where we obtain consent). Moreover, we respect your opt-out choices.
  • Internal record-keeping and analytics. Similarly, this helps us refine our offerings.
  • Legal compliance and risk mitigation. As a result, we adhere to all relevant regulations.

4. Disclosure and Transfer of Data

We may disclose or transfer your information under the following circumstances. However, we do not sell, lease, or share your personal data with unauthorized external entities. Specifically:

  • We share data with trusted third-party service providers, such as hotels, transportation companies, tour guides, or visa agents, solely to fulfill your travel package. Furthermore, these partners are bound by confidentiality agreements.
  • We provide data to government agencies, regulatory bodies, or immigration authorities where legally mandated. Consequently, this is necessary for compliance.
  • We transmit data to payment processors and financial institutions to execute secure transactions. In addition, we use encrypted methods to protect your information.

5. Data Security and Confidentiality

We employ commercially reasonable physical, electronic, and administrative safeguards to secure your personal data from accidental loss, unauthorized access, misuse, or disclosure. Although we strive for maximum data security, no digital transmission or storage method is guaranteed to be 100% secure. As a result, we recommend that you take precautions when sharing sensitive information. Furthermore, we regularly update our security measures to mitigate risks.

6. Your Rights

Subject to applicable data protection laws, you may have the right to:

  • Access the personal data we hold about you. Consequently, you can request a copy at any time.
  • Request corrections or updates to inaccurate or incomplete information. In addition, we will verify and amend records promptly.
  • Request deletion of your data where no legal retention obligation exists. Moreover, we respect your privacy preferences.
  • Object to or restrict certain processing activities. Therefore, we will adjust our practices accordingly.
  • Withdraw previously granted consent at any time (where applicable). As a result, we will cease related activities.

Furthermore, we encourage you to contact us to exercise these rights. On the other hand, some rights may be limited by law.

7. Use of Cookies and Tracking Technologies

Our website may use cookies, pixels, and other tracking technologies to enhance user experience, facilitate website functionality, and collect statistical information. Furthermore, you may configure your browser to refuse cookies, although doing so may limit functionality. Consequently, we advise reviewing your settings for optimal use.

8. Data Retention

We retain your data only for the duration necessary to fulfill the intended processing purposes unless an extended retention period is legally required for regulatory, contractual, or dispute resolution purposes. Consequently, we regularly review and delete outdated data. In addition, this practice minimizes unnecessary storage.

9. Cancellation Policy

Traveling Hub Georgia enforces a strict and non-negotiable cancellation policy applicable to all confirmed bookings, without exception. As a result, clients should review this policy carefully before booking. Furthermore, it promotes fairness and predictability.

Pre-Tour Cancellation

Once a travel package has been confirmed, paid for, and acknowledged via booking confirmation (electronic or otherwise), it shall be deemed binding. Clients are hereby advised that no refunds, rescheduling, partial credits, or cancellations will be entertained, irrespective of the reason for such a request—including but not limited to personal reasons, delays in visa issuance, or change of plans. Furthermore, this policy ensures fairness for all parties involved. Consequently, we recommend seeking alternatives if uncertainties arise.

Mid-Tour Cancellation or Abandonment

In the event a client voluntarily discontinues participation in a tour after commencement, all remaining entitlements—including accommodation, transport services, guide assistance, and pre-arranged activities—shall be deemed forfeited in full. Such forfeiture shall not entitle the client to any reimbursement, partial or otherwise, as service providers and third-party vendors do not permit reversals or modifications after initiation. Consequently, the Company shall bear no liability whatsoever for losses incurred due to voluntary withdrawal, no-shows, or abandonment mid-journey, and no alternative services or make-up dates will be offered in such circumstances. Moreover, this protects our operational integrity.

Acknowledgment of Binding Terms

By proceeding with a booking and making payment, the client irrevocably agrees to be bound by the terms of this cancellation clause and acknowledges that the Company assumes no obligation to provide compensation under any cause not expressly covered by a written agreement signed by both parties. Therefore, we recommend seeking clarification before finalizing arrangements. In addition, this ensures mutual understanding.

10. Modifications to This Policy

We reserve the right to update this Privacy Policy at our sole discretion. Any amendments will be made publicly available on our official website, with the updated date of effect. Furthermore, clients are encouraged to review the policy periodically to remain informed of their rights and obligations. Consequently, staying updated helps maintain trust.
